Terms of Service

Effective date: 17 October 2026

These Terms of Service ("Terms") govern your use of the Expiry Vault mobile application (the "App") provided by Black Flame Digital LTD ("we", "us", "our"). By using the App, you agree to these Terms.

1. Use of the App

  • You may use the App for personal, non-commercial purposes, to keep track of your own documents and those of people you manage them for, such as your household.
  • You agree to use the App in compliance with applicable laws and regulations.
  • You may not misuse the App, attempt to access it or our services using automated means, or interfere with their normal operation.

2. Reminders, Dates and Scanning

  • The App helps you remember expiry and renewal dates. It does not issue, renew, verify or replace any document, and it is not connected to any government or issuing authority.
  • Scanning reads text on your device and can misread it. Check every detail and date before you save a document.
  • Reminders depend on your device's settings, including notification permission, battery optimisation and the date and time. They may be delayed or not shown, and the App can't guarantee they'll arrive.
  • Renewal processing times vary, and some countries require documents to be valid for months beyond your travel dates. Confirm requirements and dates with the issuing authority, and don't rely on the App alone for travel, legal, employment or other important decisions.

3. Your Data

  • Your documents, details and images are stored only on your device. You keep ownership of them and are responsible for their accuracy.
  • We don't keep a copy. If you delete the App, use Delete everything, or lose or reset your device, your data is gone unless you've made a backup.
  • Backups are encrypted with a password you choose. We can't recover a forgotten password, so a backup without its password can't be opened.

4. Free Plan and Premium

  • The free plan lets you save up to 2 documents and add one person in addition to your household, and includes reminders, the app lock, encrypted images and backups.
  • Premium is an optional subscription that removes these limits and adds features such as custom document types, custom reminder schedules, advanced widgets and an optional monthly overview.
  • Premium is offered as a monthly or annual auto-renewing subscription. The price is shown in the App before you buy, in your local currency, as set by the App Store or Google Play.
  • Payment is charged to your Apple Account or Google Play account when you confirm the purchase.
  • Your subscription renews automatically at the end of each period, at the same price, unless you cancel it. On the App Store, you must cancel at least 24 hours before the end of the current period. You can manage or cancel your subscription at any time in your App Store or Google Play account settings. Deleting the App doesn't cancel it.
  • If you cancel, Premium continues until the end of the period you've paid for.
  • All payments, refunds and cancellations are handled by the relevant app store, not by us.
  • We may change Premium's features or prices. Price changes for existing subscriptions follow the app stores' rules, including any notice or consent they require.

5. When Premium Ends

  • Nothing you've saved is ever deleted when Premium ends.
  • If you have more documents than the free plan allows, your documents become read-only. You can still view, back up and delete them, and their reminders keep working. Editing, renewing and adding documents become available again once you're within the free plan's limits, or when you subscribe again.

6. Ownership and License

  • The App and all associated content, trademarks and software are owned by Black Flame Digital LTD or its licensors.
  • We grant you a limited, non-exclusive, non-transferable, revocable license to use the App in accordance with these Terms and the rules of the app store you downloaded it from.

7. Disclaimer of Warranties

  • The App is provided "as is" and "as available", without warranties of any kind, whether express or implied, to the extent permitted by law.
  • We do not warrant that the App will be uninterrupted or error-free, or that it will meet your requirements.

8. Limitation of Liability

  • To the fullest extent permitted by law, Black Flame Digital LTD will not be liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits or data. This includes losses arising from an expired document, a missed or late reminder, a misread scan, or reliance on the App.
  • Our total liability for any claim related to the App is limited to the amount you paid for the App in the 12 months prior to the claim (if any).
  • Nothing in these Terms limits liability that cannot be limited by law, or affects your statutory rights as a consumer.

9. Apple App Store Terms

If you downloaded the App from the Apple App Store:

  • These Terms are between you and us, not Apple. Apple is not responsible for the App or its content.
  • Apple has no obligation to provide maintenance or support for the App.
  • If the App fails to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price (if any) for the App. To the maximum extent permitted by law, Apple has no other warranty obligation for the App.
  • Apple is not responsible for addressing any claims by you or a third party relating to the App, including product liability claims, claims that the App fails to meet legal or regulatory requirements, and claims under consumer protection or similar laws.
  • Apple is not responsible for investigating, defending, settling or discharging any third-party claim that the App infringes that third party's intellectual property rights.
  • You confirm that you are not located in a country subject to a US government embargo or designated as a "terrorist supporting" country, and that you are not on any US government list of prohibited or restricted parties.
  • Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you.

10. Changes to the App or Terms

  • We may modify or discontinue the App at any time. If we discontinue it, the data on your device stays available for as long as the App continues to run.
  • We may update these Terms from time to time. We'll change the effective date above when we do, and continued use of the App after changes means you accept the updated Terms.

11. Termination

  • We may suspend or terminate your access to the App if you violate these Terms.
  • You may stop using the App at any time.

12. Governing Law

  • These Terms are governed by the laws of England and Wales.
  • Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts of England and Wales. If you are a consumer living elsewhere in the UK or the EU, you may also bring proceedings in your country of residence.
